At Simple Reports, we are committed to protecting the privacy of our users and the data they work with. This Privacy Policy explains how we collect, use, store, and protect information within our platform.

1. Overview

Simple Reports is a web-based report-writing platform designed for school psychologists and other special education professionals. The platform helps users efficiently build psychoeducational reports based on reusable templates, interviews, testing data, and other educational content.

Our system is hosted on secure AWS infrastructure and is accessed via a fully encrypted HTTPS connection.

2. Information Collected

We do not collect or store identifiable student demographic information (such as names, dates of birth, student IDs, or gender) beyond the point of export.

However, we do temporarily store non-identifiable educational content that users input for the purposes of building reports, such as:

  • Reason for referral

  • Psychoeducational procedures

  • Record review data (e.g., guardian occupation, primary language, developmental and medical history)

  • History of diagnoses, hearing/vision screenings, and school performance

  • Interview summaries (e.g., student, parent, teacher, provider)

  • Behavioral observations

  • Testing results

  • Summary and placement recommendations

This data is saved to allow users to reuse, edit, or update reports over time. Users are expected to delete or overwrite old data when creating new reports.

3. Use of Demographic Information

When a user chooses to export a report, the platform temporarily allows them to input student demographic information (e.g., name, date of birth, student ID, gender). This information:

  • Is used solely to populate the exported Word document

  • Is not stored in our database

  • Is automatically deleted after export is completed

Users are instructed not to input student names or personally identifiable information into any other fields in the report-building interface.

4. Data Security

We protect all user data using industry-standard security measures:

  • Encrypted HTTPS access

  • Secure hosting on Amazon Web Services (AWS)

  • Logical separation of user data

  • Automatic purging of personally identifiable information at export

However, no system can guarantee 100% security. Users are responsible for using the platform in compliance with district policies and applicable privacy laws.

5. Compliance

Simple Reports is designed to support compliance with:

  • FERPA (Family Educational Rights and Privacy Act): We do not retain or share personally identifiable student records.

  • HIPAA (Health Insurance Portability and Accountability Act): Users should avoid storing any protected health information (PHI) beyond what is allowed under FERPA's educational exception.

  • COPPA (Children’s Online Privacy Protection Act): Our platform is intended for use by adult professionals. We do not knowingly collect any information directly from children under 13.

Users are fully responsible for ensuring that their use of the platform is consistent with their professional and legal responsibilities.

6. Cookies and Tracking

We do not use cookies for tracking or analytics. Any cookies used are strictly functional (e.g., session management, authentication).

7. Changes to This Policy

We may occasionally update this Privacy Policy. If changes are made, we will update the “Last Updated” date at the top of this page. Continued use of the platform constitutes acceptance of the updated terms.
